What Are Reference Names?
Reference Names let you control how people are referred to in alerts and notifications across Zemplee.
Each Member Profile includes:
-
Reference Name for Users (default: Member or Resident)
Reference Name for Family (default: Loved one)
These fields allow you to replace generic terms with language that fits your organization — for example:
- “Resident”
- “Client”
- “Patient”
- “Mom” or “Dad”
Once set, these names are automatically used wherever the corresponding token appears in alerts and notifications.

How Reference Names Work
Reference Names are:
- Defined once in the Member Profile
- Pulled dynamically into alerts using tokens
- Applied consistently across all alert descriptions and notifications
Key Token: $member
On the Alert Descriptions page, you’ll see tokens like:
This token does not mean the word “member” literally.
Instead, $member acts as a placeholder that:
Looks up the Reference Name set in the Member Profile
Displays that value in alerts
Example
If the Member Profile is set to:
Reference Name for Users = Resident
Then an alert containing (in the alert description):
Will display as:
If you later change the Reference Name to Client, the same alert will automatically update to:
No alert text needs to be edited.
Where to Change Reference Names
To change how Members or Family are referenced in alerts:
Go to Member Profile
Locate:
Reference Name for Users
Reference Name for Family
Enter your preferred terminology
Save changes
✅ This immediately affects all alerts and notifications that use the corresponding token.
Where Not to Make Changes
❌ Do not edit alert text to replace $member with a different word
❌ Do not try to rename the token itself
Tokens like $member are system variables.
The displayed word is controlled only by the Reference Name fields.
Why This Design Matters
This approach ensures:
- Allows different Members to use different terminology if needed.
- Consistent language across all alerts
- No need to re-edit individual alert messages
- Safer customization without breaking templates
Quick Summary
Reference Names define the words
Tokens insert those words dynamically
Change terminology in Member Profiles, not alert text
$member always points to the Member Profile’s Reference Name
